As of October 17th, 2024, I have done a total of 120 hours for my internship. Chesapeake Care Clinic recently went from an old EMR (Electronic Medical Record) to a new EMR called Athena. So as of right now, I have spent a majority of my time uploading charts from the old EMR into the new EMR and labeling documents from the chart. Labeling documents means that you are selecting which type of document they are (labs, eligibility information, progress notes, flu vaccine consent forms, etc.). My manager will scan these documents from the printer into a file on the computer for me to upload. I then take the documents from the file folder and upload them by batches into Athena. Usually I will have three tabs open to do upload multiple files. Each file contains several documents for either one or multiple patients. For example, I will upload a few documents for Jane Doe that are all labs but have different dates. Or I will upload flu vaccine consent forms for multiple patients from last week. I also have been doing some data tracking as well. This involves putting together an excel spreadsheet for all of the patients that have been seen within a whole month and listing data. Most of the spreadsheets I have been working on are for hypertensive data. So these spreadsheets include the patients name, chart number, date of visit, systolic blood pressure, diastolic blood pressure, if they are diabetic, their latest HbA1c, if they are a smoker, and their latest LDL (cholesterol level). So far, I have done spreadsheets for January all the way up through September and am currently working every week on the one for October. One day I even did a spreadsheet for diabetic patients and when they last had their foot exams and dental exams done. Since I have done so much work with data while in this role, I have learned the importance of keeping track of data at healthcare facilities. I also have learned how to use Athena and because of my work history, I also know how to use the EMR called Epic. I think it is very important that I know how to use both of these EMRs.
Activity Summary #2/Update:
As of November 26th, I have completed a total of 81 hours since my last update. This puts me at 201 hours for my internship. I’ve been working on uploading and labeling more charts. I have done all of the same types of charts and have even included referrals to outside clinics/offices, medical records including emergency department notes, hospitalizations, and medical record requests, and have also uploaded and labeled different types of letters. I’ve also continued my work on data tracking. I’ve finished the hypertensive data all the way through the end of October and am currently working on November’s. Each week, I will do the data tracking for the week before. Next week, even though it will be outside of my internship hours, I plan on spending a couple of hours finishing up November’s hypertensive data for my manager, Dourina. A new thing I have spent my time working on is doing the data tracking for the pharmacy. This is all of the medication that has been picked up each week (updating the excel spreadsheet the week after) by which patient. I will enter in the patients name into excel and then enter in the name of the medication picked up, how much it cost the clinic for us to give the patient that medication, the quantity, the number of months supplied, and if it is AMP (Average Manufacturer’s Price), MAP (Medication Administration Program), or just a supply. In this time, I have also trained 2 people. One lady who will be working on uploading and labeling charts and one man who will be taking over my role as intern next semester and doing all of the same things that I have done.
